Executive Assistant is responsible for maximizing the efficiency and keeping the executive organized with administrative support.  Provides high-level administrative support tasks, including organizing, scheduling, coordinating, researching, compiling, and analyzing information. Assist in implementing department activities and communications, internal and external.

 

Required Experience for an Executive Assistant:

  • 3-7 years of experience as an Executive Assistant supporting Executive leaders.
  • High-energy individual with a positive attitude and the ability to make work enjoyable
  • Proven self-starter with the ability to initiate and complete individual projects
  • Demonstrates the importance of detail and follow through
  • Proficient with time management
  • Exercises good judgment and sensitivity to confidential and non-routine matters required
  • Ability to improvise, multi-task and prioritize in a fast paced, always changing environment while maintaining composure
  • Strong technical skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), especially Outlook and Excel

 

Primary Responsibilities of an Executive Assistant:

  • Manages tasks such as scheduling, time management, expenses, travel, email management, reporting, and presentations
  • Anticipates the needs of the Executive.  Creates agenda, collects, and distributes materials and records detailed meeting minutes as needed. 
  • Time is being managed efficiently
  • Assists the executive in the planning, development, and implementation of department goals
  • Proactively supports the executive managing projects and critical tasks, milestones, and deadlines
  • Offering advice and guidance with regards to prioritizing and managing deadlines
  • Problem solving and preventing issues from reaching the executive’s desk
  • Manages though influence by answering questions and exerting indirect authority
  • Coordinates and facilitates executive’s calendar(s) to arrange appointments, meetings, and conferences managing conflict and priorities effectively.
  • General correspondence, memos, charts, tables, graphs, business plans, etc.
  • Accountable for ensuring the executives final work product is accurate and timely, including spelling, grammar, and layout.
  • Works on special nonrecurring and ongoing projects which may include planning and coordinating multiple presentations and disseminating information timely and accurately
  • Partner with other Executive and Administrative Assistants

General Working Conditions:

This position entails standing for long periods of time.  While performing the duties of this job, the employee is required to communicate effectively with others, sit, stand, walk and use hands to handle keyboard, telephone, paper, files, and other equipment and objects.  The employee is occasionally required to reach with hands and arms.  This position requires the ability to review detailed documents and read computer screens.  The employee will occasionally lift and/or move up to 25 pounds. The work environment requires appropriate interaction with others. The noise level in the work environment is moderate.  Occasional travel to different locations may be required.
